Connect authority record to a publication

When registering a publication in DiVA, you can link your own authority record and those of any UU co-authors to the publication.

Authority records in DiVA are used to link publications, datasets and projects to the appropriate Uppsala University employee. An authority record also provides an overview of information about the author (such as organisational affiliation) and their publications during their time as an employee at the University.


Connect authority record

  1. In the Author section, enter the author's name, user ID at Uppsala University and/or ORCiD iD in the appropriate fields. You can find the user ID of an employee at UU on their profile page on the staff pages
  2. Click on Connect authority record
  3. DiVA will match against the name, user ID or ORCiD iD found in existing authority records
  4. Select the authority record that matches the publication’s information about author and organisational affiliation. Consider the following:
    • More than one person at Uppsala University may have the same name. Make sure you select the correct authority record
    • If needed, you can display alternative names or discontinued organisational units in the authority record
    • Click on the plus sign next to the name if there is more than one organisational affiliation in the authority record. If needed, you can then choose to have only one organisational unit included when you connect the authority record. If you want all organisations to be included, select the top option
       

If the correct affiliation is not available in the authority record

  1. Follow the instructions above
  2. After adding the authority record, delete the organisational units that were included, if any
  3. Click on Choose organisation
  4. Search or browse for the correct organisation. If applicable, select division or research programme, otherwise department
  5. Click on Update authority record
     

If there is no authority record

If you cannot find a match among existing authority records, you can create a new authority record when you register a publication in DiVA:

  1. Enter the author's name and user ID at Uppsala University in the appropriate fields. You can find the user ID of an employee at UU on their profile page on the staff pages
  2. Click on Connect authority record
  3. DiVA will match against the name and user ID in existing authority records
  4. If you cannot find an authority record for the current author, close the Choose authority record window
  5. Click on Choose organisation
  6. Search or browse for the correct organisational affiliation. If applicable, select division or research programme, otherwise department
  7. Click on Create authority record

Update or modify authority records

When registering a publication, you can update your own authority record with the following information:

  • Alternative name form
  • Organisational affiliation
  • Year of birth
  • E-mail address
     
After selecting your authority record in DiVA, you can add information in the appropriate field, and then click on Update authority record.


Edit your authority record

Some details in the authority record cannot be added when registering a publication. It is also not possible to use a publication record to change existing information in your authority record.

Follow these instructions to edit your authority record:

  1. Log in to DiVA
  2. If you have an authority record in DiVA, it will appear under the heading My authority record
  3. Click on Edit my authority record
  4. Make the desired changes. You can make the following changes to your authority record:
    • Add an academic title
    • Add or change e-mail
    • Add or change year of birth
    • Add another organisation
    • Link to your public profile page at Uppsala University
    • Briefly describe your research/publications (maximum 150 words)
  5. Click on Save
     
If your ORCID iD is missing from your authority record, or if your authority record contains incorrect information that you are unable to change, please contact a DiVA administrator at your department, or the Library.
